AI Implementation

How Kelowna Businesses Should Start With AI

By Josh Blyth · Published · 7 min read

Where should a small business start with AI?

Start with one specific, repetitive job, not a vague goal like “use more AI”. The best first projects are jobs that happen many times a week, follow a predictable pattern and cost you time or money when they're slow: answering the phone, replying to new leads, drafting quotes or answering the same customer questions.

Step 1: List where time and revenue leak

Spend a week noting what eats your time and where customers slip away. Missed calls during the busy season, leads that wait until the evening for a reply, and hours spent retyping job notes into quotes are the most common answers we hear from Kelowna owners.

Step 2: Pick one workflow and measure it

Choose the leak with the clearest payoff and write down how it performs today: how many calls go unanswered, how long leads wait for a reply, how many hours a week the task takes. That baseline is how you'll know whether AI helped.

Step 3: Pilot with guardrails

  • Give the AI an approved knowledge base: your services, prices, hours and policies
  • Write down what it must never do, such as promise prices or give medical advice
  • Make it easy to reach a person at any point
  • Tell customers they're talking to an AI assistant
  • Log every conversation so you can review mistakes

Step 4: Handle privacy properly

In BC, private businesses are covered by the Personal Information Protection Act (PIPA), and federal privacy law (PIPEDA) applies to many commercial activities. Commercial texts and emails also need consent under CASL. In practice: collect only what you need, disclose AI use and call recording, choose vendors with clear data terms, and keep customer data in accounts you control. Our AI usage standard sets out how we do this.

Step 5: Compare, then scale

After a few weeks, compare the pilot to your baseline. If it's better, train your team, document how it works and pick the next workflow. If it isn't, tune it or stop. That discipline is what separates useful AI from expensive experiments.

FAQ

Do I need to be technical to use AI in my business?

No. The tools can be set up and maintained for you. Your team needs to know how to review handoffs and approve drafts.

Is ChatGPT enough for a small business?

It's useful for drafting and research. For customer-facing work like answering calls or replying to leads, you need a tool connected to your calendar and CRM with clear rules and a human handoff.
